WAY‑Plan can prepare booking requests from received emails. The reception method depends on your organisation and the options enabled for your installation.
Choose the right method
| Method | Use it to |
|---|---|
| Personalised contact address | Identify requests received for a specific customer contact. |
| Managed business-entity address | Centralise bookings for an entity without configuring IMAP. |
| Existing mailbox connected through IMAP | Keep an address already used by your company. |
Personalised contact address
Activate it from the contact profile with “Activate the waymail address”, or from the “AI” tab in their customer area. The contact can forward booking emails to this address or copy it into their exchanges.
Managed business-entity address
This address is linked to the selected business entity and avoids entering technical email settings. Always test reception before sharing it.
Important: choose the address name before distributing it. Under the current behaviour, changing it disables the old address and does not create automatic forwarding. Notify your contacts and update your materials before making a change.
Existing mailbox connected through IMAP
The connection uses the settings supplied by your email provider: IMAP server, username, password and encryption options. These values cannot be derived from the domain name alone. Ask the person responsible for your email service.
After activation, new emails are analysed. Messages already in the mailbox are not automatically processed.
Test before use
- Send a fictitious booking with a full date and simple journey.
- Check that it appears in the email explorer.
- Open the prepared request and compare it with the source email.
- Share the address only after this test.
