WAY-Plan includes a new additional e-invoicing feature that allows invoices to be sent instantly via the official Peppol network, in full compliance with regulations.
This option can be activated on request, after agreement by e-mail, and is subject to specific pricing linked to your WAY-Plan package. For more information or to request activation, our team is at your disposal.
Essential prerequisites
Before you can send an e-invoice, it is essential that the customer file is correctly filled in.
Check and complete the customer file with the full billing address.
Go to the menu >Customers and make sure that the following information is filled in for the customer concerned: VAT number, country and city.
This information is mandatory to enable correspondence and the correct delivery of the electronic invoice to the recipient.
- Searching for the billing email address
There are two ways to enter the billing email address via Peppol:
Direct entry of the Peppol number
If you know your customer's Peppol number, enter it directly in the dedicated field.
Please note: After entering or modifying this number, you must validate the changes on the customer file before continuing. Once the file has been validated, click on the ‘Check Electronic Address’ button to verify the validity of this identifier.
Automatic search via the ‘Check Electronic Address’ button
If you do not know the Peppol identifier, you can click directly on this button.
The system will perform an automatic search to find a Peppol identifier.
If the verification fails, it will notify you of any missing or incorrect information.
This step ensures that the customer is eligible to receive electronic invoices.
Sending an e-invoice from a file
Once the customer file has been validated: Open the relevant file and generate the invoice as usual. Then click on the ‘e-invoicing’ button to send it.
From the file, you can view the status of the electronic invoice in real time:
- Invoice issued
- Other informative statuses depending on processing
Sending is instantaneous: there is no manual return to be made.
Recommended best practices
We recommend sending a test invoice to one of your customers to verify that electronic invoices are being sent and received correctly, and to confirm with them whether it is still necessary to send a supplementary PDF version.
Tracking invoices sent from the Invoicing menu
From the Invoicing menu, you have access to:
- the complete list of invoices sent via e-invoicing
- the status of each invoice
Good to know: By clicking on the small arrow next to an invoice, you can use a shortcut to send an invoice via e-invoicing directly from this menu, without having to go back to the folder.
Important information
Currently, e-invoicing works for individual invoices, each of which must be sent separately.
Accurate customer details are key to successful delivery.
